Operations Manager

The Miami Beach Botanical Garden, a local non-profit attraction, is hiring an Operations Manager to join our dedicated team. This is a salaried, exempt position with benefits including health insurance, dental insurance, retirement plan and paid time off. Under the direction of the Executive Director (ED), the Operations Manager (OM) manages the day-to-day operations of custodial and building maintenance activities, and gift shop and guest services. The OM supervises employees and participates in the development, recommendation, and administration of policies, procedures, and processes in support of departmental operations. The OM will coordinate horticultural and botanical activities in the botanical garden and perform other related duties as required.

Essential Duties and Responsibilities:

  • Responsible for general operations of the Garden.
  • Serves as manager on duty during evening and weekend events.
  • Responds to after-hour issues regarding the operational aspects of the facilities as needed, such as HVAC issues, fire alarm malfunctions, electrical outages, water leaks, etc.
  • Works as a maintenance liaison with City of Miami Beach.
  • Oversees operations of gift shop and facility/equipment maintenance, including supervision of staff and contractors.
  • Oversees inventory for the gift shop, office, facilities and maintenance supplies and maintains inventory controls.
  • Works with ED, Horticultural Director, and Program and Events Manager to ensure appropriate staff coverage during hours the Garden is open to the public and for private events, including scheduling staff to open and close each day.
  • Ensures a safe environment during events (i.e., hiring Security Guards as needed and securing of Garden each night).
  • Works with ED and outside Accountant/Bookkeeper to ensure timely payment of invoices.
  • Negotiates and manages third-party vendor contracts, including contractors for technology, maintenance, pest control, and events.
  • Monitors and oversees the work of external contractors to ensure terms of agreements are met and work is completed satisfactorily.
  • Handles HR matters directly, with supervision of the ED, including recruiting, hiring, onboarding, and training new team members.
  • Ensures financial controls and compliance with financial policies and procedures.
  • Works with Food and Beverage Manager on liquor and beverage inventory and controls.
  • Assists ED with licensing, contractual, and regulatory compliance, including compliance with food, health, and safety standards.
  • Plans, forecasts, and executes supply orders.
  • Addresses guest and member complaints and concerns promptly and patiently.
  • Builds and maintains strong relationships with vendors.
  • Undertake any other reasonable task as directed by the ED.

Skill and Abilities:

Required Qualifications:

  • Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and experience
  • Must have a valid FL driver’s license
  • Competent IT skills, including MS Word, MS Excel, and MS Outlook
  • Experienced with multitasking in a demanding environment
  • Demonstrated excellent written and verbal communications skills.
  • Solution-oriented and resourceful
  • Experience planning and executing strategic initiatives
  • Proven job reliability, diligence, and dedication
  • Strong time management and organizational skills
  • Attention to detail and adherence to standards
  • Positive approach to learning in role and identifying own training needs as appropriate

  • Flexible approach to role – must be available to work different shifts including evenings and weekends
  • Must be available to work specified dates, including Easter, Memorial Weekend, 4th of July, Labor Day, and Halloween.

Qualities of an ideal candidate include:

  • 5 years of overall work experience with 3 or more years of management or supervisory experience
  • Non-profit experience
  • Proven leadership skills to lead and motivate a team

Working Conditions:

Candidate must have the ability to work long and irregular hours. While the schedule varies depending on events and season, candidates must be available to work Monday through Sunday with flexible days and hours. For event coverage, hours range from 3 pm until an event ends, typically between 10 pm and 1 am. On non-event days, the hours are shorter and more regular, depending on the schedule in a particular week and work needed to prepare for upcoming events. Schedule is more regular during summer months/off-season.

Physical Requirements:

As this position involves helping to set up and break down some events, applicants must be able to meet the following physical requirements:

  • Standing for prolonged periods of time
  • Must be able to work outdoors in a variety of weather conditions
  • Lifting, carrying, pushing, and pulling up to 50 lbs
  • Bending, stooping, twisting, and reaching overhead
